The system’s Data Archiving and Purging features allow efficient data management by ensuring data retention for a specific period while also enabling automatic deletion after the designated time.

Data Archiving: Data archiving temporarily stores older data for a defined retention period, during which the data remains accessible and can be restored if required. Data is archived for 60 days. During this time, users can retrieve the archived data if needed.

Data Purging: Data purging is an automated process that permanently deletes archived data once its retention period expires, ensuring compliance with data policies and freeing up storage. After the archival period of 60 days, the system begins a 30-day purge countdown. At the end of this period, the archived data is permanently deleted.

Example:

  • You start using the software on 1st December 2024.

  • On 28th February 2025, the system archives data from 1st December to 28th December 2024 because it retains 60 days of data.

  • On 31st March 2025, the system deletes all data from 1st December to 30th December 2024 as the purge duration of 30 days begins after the 60-day archival period.

All operations are calculated using the exact number of days, rather than months. Both archiving and purging durations are configurable in the software’s settings. You can modify these durations based on organizational requirements. The system strictly uses day-based calculations for accuracy.

In order to enable the feature:

  1. Go to the “Settings”.

  2. Click on “Account Settings”.

  3. Click on “Data Archive and Purge Configuration”.

Enable the features and specify the desired durations for archiving and purging as per your requirements. Once configured, click Apply to save the changes.
