Slack Integration

Connect QWaiting with Slack to receive queue notifications and updates directly in your Slack workspace.

This guide explains how to create a Slack App, configure the required permissions, obtain your Slack authentication tokens, and connect them with QWaiting.

Part 1: Before You Begin

Make sure you have:

  • A Slack workspace where you have permission to create or install apps.

  • Access to your QWaiting Admin Dashboard.

  • Permission to manage Slack apps in your workspace.

Important: Keep your Slack tokens private. Do not share them publicly or include them in screenshots, documentation, or support tickets.

Step 1: Create a Slack App

  1. Sign in to your Slack account.

  2. Open the Slack API – Your Apps page.

  3. Click Create New App.

  4. Select From scratch.

  5. Enter an app name, for example:
    QWaiting

  6. Select the Slack workspace where you want to use the integration.

  7. Click Create App.

Step 2: Configure OAuth Permissions

After creating the app:

  1. Open your Slack App.

  2. From the left-hand menu, select OAuth & Permissions.

  3. Locate the Scopes section.

  4. Add the permissions required by your QWaiting integration.

The exact scopes required depend on the actions QWaiting performs in Slack. For example, if QWaiting needs to send messages as the Slack app, the app should have the appropriate messaging permission such as chat:write. Slack defines OAuth scopes as permissions that determine what an app can access or perform in a workspace.

Recommended: Request only the permissions required for your QWaiting integration. Avoid adding broad permissions unnecessarily.

Step 3: Install the App to Your Slack Workspace

After configuring the required permissions:

  1. Stay on the OAuth & Permissions page.

  2. Click Install to Workspace.

  3. Review the permissions requested by the app.

  4. Click Allow.

Slack may require workspace-admin approval depending on the workspace's app-management settings. Workspace owners can control which apps users are allowed to install.

Step 4: Copy the Slack User Authentication Token

After installing the app:

  1. Open OAuth & Permissions.

  2. Locate the token section.

  3. Copy the User OAuth Token.

  4. Keep the token secure.

In QWaiting, paste this value into:

Slack user auth token

Do not include quotation marks or additional spaces when copying the token.

Step 5: Copy the Slack Bot Authentication Token

  1. In the same Slack App, open OAuth & Permissions.

  2. Locate the Bot User OAuth Token.

  3. Copy the bot token.

  4. Keep the token secure.

In QWaiting, paste this value into:

Slack user bot auth token

Bot tokens allow Slack apps to perform actions as the app/bot, subject to the permissions granted to the app.

Step 6: Enter the Tokens in QWaiting

Go to your QWaiting Admin Dashboard.

Navigate to:

Settings → Slack Setting

You will see the following fields:

Slack user auth token

Paste the User OAuth Token obtained from your Slack App.

Slack user bot auth token

Paste the Bot User OAuth Token obtained from your Slack App.

Active/Inactive

Enable this option to activate the Slack integration.

When disabled, QWaiting will not use the Slack integration.


Step 7: Save the Configuration

After entering both tokens:

  1. Verify that both token fields contain the correct values.

  2. Make sure Active/Inactive is enabled.

  3. Click Save changes.

QWaiting will save the Slack configuration and activate the integration.

Quick Setup

Slack App → OAuth & Permissions → Configure Scopes → Install to Workspace → Copy User OAuth Token + Bot User OAuth Token → QWaiting → System Settings → Integrations → Slack Setting → Paste Tokens → Activate → Save Changes

Part 2: Configure Slack Notification Templates

After configuring the Slack integration, you can customise the messages that QWaiting sends through Slack.

Step 5: Open Notification Settings

From the QWaiting Admin Dashboard, go to:

Settings → Notification settings

On the Notification Settings page, you will see several notification channels, including:

  • WhatsApp notifications

  • Email notifications

  • SMS notifications

  • Slack template

Select Template settings under the Slack template section.

Part 3: Configure the Slack Message Templates

The Slack Templates page allows you to configure different messages for different queue events.

On the left side, you will see the available templates.

Depending on your QWaiting configuration, available templates may include:

Ticket Generation Message

Sent when a new queue ticket is generated.

Reminder Message

Used to remind a customer about their queue or appointment.

Next Call Message

Used when the customer's turn is approaching or they are called next.

Skip Call Message

Used when a customer's ticket is skipped.

Recall Message

Used when a previously called customer is recalled.

Feedback SMS

Used for feedback-related communication.

New Booking SMS

Used when a new booking is created.

Reschedule Booking SMS

Used when an existing booking is rescheduled.

Cancel Booking SMS

Used when a booking is cancelled.

Transfer Call SMS

Used when a customer's queue ticket is transferred.

Note: The exact templates available may vary depending on the services and features enabled in your QWaiting account.

Part 4: Save the Template

After entering your message and adding the required variables:

  1. Review the message.

  2. Make sure the template is enabled.

  3. Click Save.

The complete configuration process is:

Create Slack App

Configure Slack permissions

Install Slack App to Workspace

Copy User OAuth Token

Copy Bot User OAuth Token

QWaiting → Settings → Integrations → Slack

Enter both tokens

Enable Slack integration

Save changes

Settings → Notification Settings

Slack Template → Template Settings

Select notification template

Create message

Add dynamic variables

Enable template

Save
